Where a school's term gets lost
Most schools do not lack committed teachers. They lack one place where learners, marks, fees and messages to parents are recorded and connected.
- Report cards that arrive late. Marks live in teachers' notebooks and spreadsheets. Compiling them takes the last week of term, and a single error means reprinting a whole class.
- Fee balances nobody can confirm. Parents pay by Mobile Money, bank slip and cash. The bursar reconciles by hand, and a balance query can take a day to answer.
- Parents who hear last. Absences, results and circulars travel home on paper, if at all. Parents call the office for answers the school already has.
- Registers that never add up. Attendance is marked in class books but never totalled, so patterns of absence show up at the end of term instead of the first week.
One record follows the learner from admission to graduation
Admission, class and timetable, attendance, assessment, report card, fees and parents informed, in one system:
- Marks entered once. Teachers score in the system; report cards build themselves.
- Every shilling traced. Mobile Money, bank and cash payments matched to the learner.
- Parents kept in the loop. Absences, results and balances reach them the same day.
Sixteen modules, one database
Learner records, admissions and enrolment, attendance registers, timetable builder, exams and assessment, report cards, fees and billing, Mobile Money and bank, expenses and budgets, staff and HR, library, boarding and houses, parent portal, SMS communication, reports and EMIS, users, roles and audit. Modules are switched on per tier.
Learner data, protected properly
- Role-based access. Teachers see their classes, the bursar sees fees, parents see only their own children. Every role is set by the school.
- Full audit trail. Every mark changed, payment recorded and record deleted is logged with the user and the time.
- Daily backups. Automatic backups with restores tested, not assumed. Records can be recovered to the previous day.
- Works on your network. Runs on the school's local network or in the cloud. Local installations keep working when the internet is down.
- Learner privacy. Health, discipline and family records are restricted to named staff; passwords are encrypted.
- You own your data. Records export at any time in standard formats.
Setup
Every tier includes installation, configuration, data import and training. Deployment is on-premise, in the cloud (hosted and backed up by TIAMTECH) or hybrid, chosen at signing and changeable later.
From signing to the first report card: discovery and setup, import of learner lists, guardian contacts and opening fee balances checked with the bursar, training on your own screens with your real data, then go-live at the beginning of a term so the first report cards come out of the new system. Best scheduled during a holiday.
